Getting Started
Welcome to BestWay FilingMate. Here's how to get up and running quickly.
Installation
- Download the installer (
BestWay FilingMate Setup.exe). - Double-click the file to run the installation.
- The app will launch automatically once installed.
System Requirements
- OS: Windows 7, 8, 10, or 11
- RAM: 2 GB minimum (4 GB recommended)
- Storage: 100 MB free space
- Internet: Not required (100% offline)
License Activation
After purchase, you'll receive a license key via email. To activate:
- Open FilingMate and go to Settings β License.
- Enter your license key and click Activate.
- Once activated, you can use all features based on your plan.

From the dashboard, you can quickly:
- Add GST Client: Register a new GST trader with GSTIN and credentials.
- Add IT Client: Register a new IT client with PAN and category details.
GST Clients
Manage all your GST registered traders in one place. Store GSTIN, credentials, and filing scheme details.
Client Information
Each GST client record includes:
- Trader Name: Business name as registered
- GSTIN: 15-character GST Identification Number
- Scheme: Monthly, Quarterly, or Composition
- Username/Password: GST portal login credentials (stored securely)
- Contact Info: Phone, Email, Address

GST Checklist
Track GSTR-1 and GSTR-3B filing status for all your GST clients on a monthly basis.
How It Works
- Period Selection: Choose month and year to view filing status
- GSTR-1: Monthly return for outward supplies (due by 11th)
- GSTR-3B: Monthly summary return (due by 20th)
- Checkbox: Mark each form as filed with filing date
- Status Tracking: Pending β Partial β Done
IT Checklist
Track Income Tax filing status for all your IT clients for each assessment year.
How It Works
- Assessment Year: Select the AY to view filing status
- Due Dates: Automatically shown based on client category
- Filing Status: Mark as Filed, Pending, or Revised
- Acknowledgment: Store ITR acknowledgment number
Workflow: Add GST Client
Follow these steps to add a new GST client:
- Navigate to GST Clients from the sidebar.
- Click + Add Client.
- Enter the Trader Name (business name).
- Enter the GSTIN (15-character GST number).
- The app validates the format automatically.
- State is auto-detected from the first 2 digits.
- Select the Scheme: Monthly, Quarterly, or Composition.
- Enter Username and Password for GST portal access.
- Add contact details: Phone, Email, Address (optional).
- Click Save.
Workflow: Add IT Client
Follow these steps to add a new Income Tax client:
- Navigate to IT Clients from the sidebar.
- Click + Add Client.
- Enter the Client Name.
- Enter the PAN Number (10-character PAN).
- Select the Category:
- Individual (Non-Audit)
- Audit Case (Non-T.P.)
- Transfer Pricing Case
- Individual (Partner in Audit Firm)
- Add contact details: Phone, Email (optional).
- Click Save.
Workflow: Track GST Filing
Mark GSTR-1 and GSTR-3B as filed for each client:
- Go to GST Checklist from the sidebar.
- Select the Month and Year.
- Find the trader in the list (use search if needed).
- Click the GSTR-1 checkbox when filed. Enter the filing date.
- Click the GSTR-3B checkbox when filed. Enter the filing date.
- The Status automatically updates:
- Pending - Neither filed
- Partial - One filed
- Done - Both filed
Workflow: Track IT Filing
Mark Income Tax returns as filed for each client:
- Go to IT Checklist from the sidebar.
- Select the Assessment Year.
- Find the client in the list.
- Click the ITR Filed checkbox when return is submitted.
- Enter the Acknowledgment Number.
- Enter the Filing Date.
Workflow: Import Clients from CSV
Bulk import your existing client list:
- Navigate to GST Clients or IT Clients.
- Click Import CSV.
- Download the sample template to see the required format.
- Fill in your client data in the CSV file.
- Select the CSV file and click Import.
- Review the import summary for any errors.
Workflow: Export Data
Export client lists and filing status to Excel/CSV:
- Navigate to the relevant section (Clients or Checklist).
- Apply any filters if needed (search, status, date range).
- Click Export CSV.
- Choose a location to save the file.
Workflow: Backup & Restore
Protect your data with regular backups:
Create Backup
- Go to Settings β Backup.
- Click Create Backup.
- Choose a location to save the backup file (
.backup). - Store this file safely (external drive, cloud, etc.).
Restore Backup
- Go to Settings β Backup.
- Click Restore Backup.
- Select your backup file.
- Confirm the restore (this will replace current data).
Frequently Asked Questions
Is my data safe?
Yes! FilingMate is 100% offline. All data is stored locally on your computer and never sent to any server. Your client passwords are encrypted using industry-standard encryption.
Do I need internet to use FilingMate?
No. The app works completely offline. Internet is only needed for initial license activation and occasional license verification.
Can I use it on multiple computers?
Each license is valid for one computer. For multi-device usage, please contact support for volume licensing options.
How do I transfer data to a new computer?
Use the Backup & Restore feature. Create a backup on your old computer, copy the backup file to your new computer, and restore it there.
What happens when my license expires?
The app enters Demo mode with a 5-client limit. Your existing data is preserved and accessible again once you renew.
Can I get a refund?
Yes, we offer a 7-day refund policy. If you're not satisfied, contact us within 7 days of purchase for a full refund.
